Management-Exempt Status 

Management-exempt faculty are a limited group. Most faculty do not fall into this category. Within the consulting program, management-exempt employees have a base faculty appointment and are not eligible for AAUP membership. 

  • Storrs and Regional Campuses: 
    Typically hold senior administrative roles (generally associate dean level or above), have 12-month appointments, and accrue vacation and leave (unlike 9/10/11-month faculty).  
  • UConn Health: 
    If you are unsure of your status, refer to your appointment letter.  

Management-exempt faculty must document how normal work time used for consulting is made up. During reconciliation, you will report the actual days and hours used for make-up work outside normal business hours. If this is not possible, consulting must occur using approved leave (vacation, personal, comp, or holiday). 

Work Effort 

Your percent work effort reflects your full-time equivalent during contracted months (e.g., a standard Storrs/regional appointment is typically 9 months at 100%). For Storrs/regional faculty, this is below 100% only if you have an approved part-time reduction. 

Eligibility 

Only employees with a faculty appointment or who are eligible for AAUP membership may submit consulting requests (referred to here as “faculty”). 

Less Than 50% Appointments 

Faculty working less than 50% are not required to submit consulting requests (most adjuncts fall into this category). However: 

  • You may choose to submit a request if you want a potential conflict of interest reviewed and documented.  

This section captures information about the entity paying you. 

  • If you are working domestically for an international entity (e.g., a U.S. branch of a company headquartered abroad), indicate that funds are coming from an international source.  
  • For complex relationships, use the additional information field in the attestations section.  

The affiliation question is designed to identify potential Faculty Affiliated Companies (FACs). Temporary service roles (e.g., serving on an academic board or committee) do not require detailed reporting. 

Faculty-Affiliated Companies (FACs) 

Most FAC-related information is managed through OVPR. A FAC is a for-profit or not-for-profit business in which you or an immediate family member (spouse or dependent child): 

  1. Is a director, officer, owner, or limited or general partner, or  
  1. Is a beneficiary of a trust OR holder of stock constituting five percent or more of the total outstanding stock of any class  

If this is your first FAC submission, you may be contacted for additional information about the entity and your relationship to it. 

FAC involvement may result in additional compliance obligations, even if the entity is not directly related to your academic work.

Select the activity type that best describes the consulting work you will perform. Additional descriptions are available on the Activities page.

A consulting request is valid for one fiscal year. If the activity continues beyond the current fiscal year, a new request must be submitted. 

Reporting Periods 

  • Storrs/Regionals: The reporting year is May 23–May 22, aligned with the faculty contract cycle (Aug 23–May 22).  
  • UConn Health Center: The reporting year is July 1-June 30, aligned with the fiscal year. 

Start Date 

  • Enter a firm start date if known or select “start upon approval.”  

Time Reporting 

  • Consulting time is reported in days, where 1 day = 10 hours 
  • Example: 2 hours = 0.2 days  
  • For recurring work, estimate the total time across the full period (e.g., 0.4 days/week × 10 weeks = 4 days total)  

Normal Work Time 

Normal work time is when you are contractually expected to work: 

  • Typically, Mon–Fri, 8 a.m.–5 p.m., unless you have an approved alternative schedule  
  • Includes non-semester periods within contracted months (e.g., winter break, spring break, post-semester period)  
  • Excludes weekends and public holidays  
  • Storrs/Regionals (9- and 10-month faculty): Summer is not considered normal work time  
  • UConn Health: Follow your appointment terms and schedule  

Specific dates/times that consulting will occur during normal work time must be pre-approved by your supervisor: 

  • If specific dates/times are known at the time of application, include them in the form  
  • If not, provide them later to your supervisor in writing for approval  

Estimating Time 

If the total time is uncertain, overestimate rather than underestimate. Approved requests cannot be edited, and additional requests will need to be submitted if you need more time approved. During reconciliation, you will report actual time spent (total and normal work time). 

Late Submissions 

If your request is submitted after the start date, you should still complete it. Refer to FAQs or reach out to the Faculty Consulting Office for guidance.   

If total compensation is uncertain, overestimate when submitting. Actual compensation will be reported during reconciliation.

If you receive no direct payment (e.g., startup activity), report expected compensation (which may be $0) and explain any equity or financial interest (e.g., significant financial interest over $5,000).

These questions help identify potential conflicts of interest.

Provide sufficient detail about your role, relationships, or other relevant factors. Additional follow-up may be required.

University resources generally may not be used for consulting. 

De Minimis Use 

Consulting may involve the use of de minimis resources in the following ways: 

  • Total value of resources used does not exceed $100 per fiscal year (across all consulting)  
  • Departmental policies (e.g., reimbursements) are followed  
  • Only “idle, non-consumable resources” are used (e.g., office, computer, email)  
  • Use does not interfere with other State business (e.g., your regular University work or that of your colleagues)  
  • Use is for convenience, not cost savings (e.g., it was more convenient to use your University computer and office rather than a home computer and office) 
  • You clearly represent that consulting work is performed as a private citizen, not as a University employee  

Material Use of Resources 

If consulting involves material use of University resources, a formal agreement and fair market compensation to the University are required. 

Documentation must include: 

  • Description of resource use  
  • Fair market value of resources 
  • The name of the highest level University official who approved the use of the resources, including an attestation of this approval 
  • An attestation that reimbursement will be monitored by this University official 
  • Attestation that documentation can be provided if audited  

This documentation may be submitted in a single file using the “other attachment” section.

You must complete all required attestations before submitting your request. These confirm your understanding of and compliance with consulting requirements. Please make sure that you read each one carefully.

After completing the activity (or at fiscal year end), you must reconcile each approved request. 

  • Indicate if the activity did not occur 
  • You may also select this option if you received no compensation for the activity 
  • Confirm or update actual time and compensation  

Report and explain any differences from the original submission
